Using AI Tools Safely at Work: 7 Rules for Your Team
Your staff are probably using ChatGPT, Copilot or similar tools already, with or without a policy. AI can save hours a week. Used carelessly, it can leak data or produce mistakes that reach a customer. These seven rules keep the benefits and cut the risk.
- Never paste in personal or confidential data. No customer names, staff details, financials or anything covered by GDPR, unless your company has approved the tool for it.
- Check everything it writes. AI can sound confident and still be wrong. Check facts, figures and names before you use them.
- Watch for bias. Review AI output on hiring, performance or customer decisions with extra care.
- Use approved tools. Stick to the tools and accounts your employer has signed off.
- Be clear when AI helped. Tell colleagues or customers when content was AI-assisted if it matters to them.
- Write better prompts. Give context, say who the audience is and ask for a specific format. Better input means better output.
- Keep a human in charge. AI drafts; people decide.
Power2Me's AI & digital skills training shows staff how to use AI confidently and safely in their own roles. Our cyber security awareness training covers protecting data more broadly.
